What we record when you sign
- Your name and email address, as given to us by the person who sent you the document.
- The signature you type or draw, and anything else you fill in on the document.
- The date and time of each step: when the link was opened, when the code was confirmed, when the document was shown, when you signed or declined.
- Your internet (IP) address and the type of browser you used.
- If you decline, the reason you give.
Why
To carry out the signing you were invited to, and to keep reliable evidence of who signed what and when. That evidence protects you as much as us: it appears on the certificate at the end of the signed document, which every party receives.
We do not use this information for marketing and we do not sell it.
How long we keep it
Signed documents and their records are kept for seven years after completion, because a contract can be disputed for up to six years. Documents that were never completed are deleted sooner.
Who else handles it
We use a small number of service providers to run Expul Sign: a database and file store hosted in London, an email delivery service, and a website host. They act only on our instructions. The other parties to your document see your name, email address, signature and the signing record, because those are part of the signed document.
Your rights
You can ask us for a copy of the information we hold about you, or ask us to correct it. Because a signed document is a legal record, we may not be able to delete it before the seven years are up. If you are unhappy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk.
